Recruiting Operations Specialist | Contract

This is a temporary contract role covering a parental leave absence, with the possibility of extension. You'll step into a central position within the recruiting function, managing the operational backbone that keeps hiring moving smoothly across a global, fast-paced organization.

What you'll do

• Manage interview scheduling and coordinate candidate logistics across multiple time zones, including complex multi-round panel discussions alongside executive assistants and hiring teams.

• Maintain data integrity within Ashby by performing regular pipeline audits, validating records, and implementing configuration changes that strengthen the recruiting system.

• Analyze recruiting metrics and stakeholder feedback to identify workflow inefficiencies, pilot improvements, and track results to demonstrate impact.

• Design and scale repeatable processes that incorporate AI and automation tools to eliminate routine manual work, streamline handoffs, and allow the team to concentrate on relationship-building and decision-making.

• Uphold candidate experience standards by ensuring clear communication, timely status updates, and proper preparation for all interview participants.

What you'll bring

• At least two years working in recruiting operations, coordination, or a similar capacity within a global startup or high-growth tech company.

• Hands-on proficiency with Ashby or comparable applicant tracking systems, plus understanding of how data quality and system setup influence hiring effectiveness.

• Strong judgment in prioritizing competing demands, working through unclear situations, and executing independently without constant direction.

• Polished written and verbal communication skills; you're comfortable engaging senior leadership and raising concerns when processes need adjustment.

• An AI-forward perspective: you grasp how workflows function, spot optimization opportunities, and can construct efficient systems that blend AI and automation into recruiting operations.

• A team-oriented mindset that values feedback, shares insights with colleagues, and prioritizes the people at the center of the process.
